OFFICE MANAGER/ACCOUNTANT


Our client; a leader in the construction industry specializing in commercial and multi-family projects in New York is currently seeking an Office Manager/Accountant to join its dynamic team.The ideal candidate will have 5-10 years of prior and current experience working for a General Contractor and will report directly to the CEO.This position encompasses a wide range of responsibilities including bookkeeping activities as well as oversight and monitoring of internal accounting processes and systems.


ESSENTIAL DUTIES AND RESPONSIBILITIES:


  • Ensure that a proper accounting system is in place by enforcing controls as per corporate standard operating procedures (SOPs) and general accounting principles.
  • Manage, monitor and supervise to ensure that the company maintains a steady and stable cash flow
  • Prepare month-end and year-end closings, reconciling general ledger, bank and credit card accounts
  • Liaise and assist other key staff members as well as CPA and ensure timely financial reporting as required
  • Prepare monthly budget forecasts for CEO and relay financial analysis against budget.
  • Post income, expense, bank and capital transactions into the general ledger on a daily basis
  • Verify and collate data for internal audits as required for insurance and tax purposes
  • Preparation of actual vs budget cost reports including detailed variance analysis and reconciliation
  • Review timesheets and expense reimbursements for accuracy, submit timely to external payroll company and prepare accurate journal entries
  • Prepare and submit quarterly sales tax returns (multi-state)
  • Responsible for all aspects of accounts receivable to include review and manage compliance of subcontract documentation, insurance requirements and bonds
  • Prepare Schedule of Values and AIA requisitions for submission to multiple clients for multiple projects.Follow up on payment collection.
  • Review subcontractors requisitions and liaise with project managers to confirm percentage complete and incorporate into monthly requisitions
  • Verify and Monitor Change Order Logs, Insurance Logs, Capital Improvement Logs, Permit Logs and licensing for multiple projects
  • Responsible for all aspects of accounts payable including job costing and forecasting profitability
  • Prepare Waivers of Lien for all subcontractors prior to release of payment and ensure receipt
  • Prepare monthly Budget Status Reports for development projects
  • Provide support to the development construction team
  • Reconcile job cost to financial statements.
  • Oversee day to day office operations, provide administrative assistance and assist with new staff hires

PREFERRED SKILLS, KNOWLEDGE AND ABILITIES:

Bachelors degree in Accounting preferred

Proven track record of 5-10yrs experience in a similar role in the construction industry

Superior management, leadership and development skills

Self-Motivated, detail-oriented, autonomous multi-tasker with the ability to prioritize their work

Proficiency with Sage software and Microsoft Office is required

Demonstrate strong knowledge of the construction process; subcontractor agreements, capital improvements, change orders, insurance etc.

Strong analytical and problem-solving skills

Demonstrate discretion and trustworthiness in carrying out financial/accounting tasks
